Instituto de Informática, I.P. is a Portuguese public entity under the Ministry of Labour, Solidarity and Social Security. Its purpose is to promote the design, definition, implementation, and evaluation of Portugal’s Social Security information system, as well as the IT and statistical policies of that system.

Challenge

In a scenario involving more than 600 professionals participating in the accreditation process, we needed an efficient solution to make materials available and standardize the guidelines for drafting tests, avoiding communication noise.

Use Case

We implemented an Agent in Microsoft Copilot Studio based on pre-configured prompts and guidelines. Using a standardized SharePoint as the single source of truth, we transformed the process: the assistant now guides professionals to the correct documentation and uses artificial intelligence to evaluate submitted texts and documents, creating and reviewing test suggestions in a fully standardized way.

Achievements

The use of Copilot reduced operational requests to the training team, mitigating daily interruptions. At the same time, it enabled the project’s approximately 20 mentors to conduct test reviews for their teams in a standardized, scalable way.
